Obtaining a passport or other document abroad does not always happen at a convenient time. That's why Warsaw decided to change the rules for storing them in the Passport Service office. The new procedure gives applicants much more time to visit the institution. This is especially important for those who work in another city or temporarily leave Poland. Here are the main details of the changes.
In the article by the link, you can learn more about the expiration of temporary protection for Ukrainians in Poland in 2026 and the new residence rules.
What changes are in store for Ukrainians?
The Warsaw branch of the Passport Service has updated the rules for storing ready-made documents.
Now:
- Documents are stored for up to 6 months;
- The period starts from the date of receipt of the document at the office;
- The rule applies to all ready-made documents issued by this unit.
Previously, the retention period was shorter, which meant that some applicants did not have time to pick up their documents on time.

Why did you introduce the new document retention periods?
The decision to extend the retention period was made taking into account the real circumstances of Ukrainians in Poland.
Most often, people cannot pick up documents on time due to:
- Change of city or address of residence;
- Work, business trip or study;
- Temporary travel outside of Poland.
The new rules should reduce the number of cases when documents remain uncollected or need to be reissued.
In the previous article, we talked about changes in the synchronized issuance of ID cards and passports through the State Enterprise “Document”.
How can I check the status of my document?
Before visiting a branch, applicants can check whether the document is ready for issuance.
To do this, you need to
- Go to the official website of the Passport Service;
- Open the online service “Status of documents processing”;
- Enter the data received during the application process.
This allows you to avoid unnecessary trips and make sure that the document has already been delivered to the Warsaw branch.
Where can I get the documents in Warsaw?
You can receive the completed documents at the Warsaw branch of the Passport Service.
Address:
Blue City shopping center, 179 Jerusalemskie alleys, Warsaw
Opening hours:
Monday-Saturday: 09:00-18:00
Sunday: day off
Extending the retention period reduces the risk of losing documents and gives more freedom to those who cannot come to pick them up immediately after they are produced.
