New Polish Visa Appointment Procedure: What Has Changed Since June 8

As of June 8, 2026, an updated appointment booking system for submitting documents has been launched at VFS Global visa centers in Poland. The changes apply to all categories of applicants and all types of visas, according to visa.vfsglobal.by.


The key difference from the previous procedure is that, after completing registration, the applicant no longer selects a visit date immediately. Instead, they are added to a verified waiting list for an available slot. The system is designed to streamline the queue and reduce the rush around “popular” dates.

Key registration steps: what remains unchanged?


Despite the change in the final step, the main registration procedure remains the same:

● creating and activating an account in the VFS system;

● selecting a visa center, visa category, and subcategory;

● uploading a passport photo and automatic data entry;

● undergoing identity verification.


After successfully completing all steps, the application will be automatically added to the waiting list. A confirmation email with a registration number will be sent to the provided email address.

How to get a document submission date: the important 48-hour deadline


When slots become available at the visa center, the system will send the applicant an email offering to book a date and time for the visit. You have 48 hours to confirm the booking.


This is a crucial point: if the applicant does not select an available time slot within this period, their application will be automatically removed from the waiting list. This means you will have to go through the registration process again—from the very beginning. Therefore, it is important to monitor your email closely and not ignore messages from VFS Global.


How to cancel your registration if you no longer need a visa?


If circumstances have changed and you no longer need to apply for a visa, you can cancel your registration yourself. This is done through your personal account in the VFS system—without the need to contact support or visit the visa center in person.
